Privacy Statement

XA Coach (“XA Coach,” “we,” “us,” or “our”) takes your privacy seriously. This Privacy Statement describes how we collect, use, disclose, manage, retain, and safeguard personal information in connection with the XA Score mobile application (“App”) and related Services that we provide to athletic programs, coaches, athletes, and other authorized users.

Information We Process on Behalf of Our Customers
In providing the App and Services, we receive or collect personal information about student-athletes, coaches, and other authorized users on behalf of the athletic programs that are our customers:

- Personal and Identifying Information: Email address, name, team affiliation, position, jersey number, and similar details.  
- Athletic and Performance Data: Self-reported readiness and wellness data, such as answers to daily questions (e.g., “How are you feeling today?”, sleep quality, soreness levels) and body weight entries.  

This information is processed only to provide the App and Services requested by the athletic program; we do not use this data for unrelated purposes without consent.

Your Membership and Consent
- Your membership in the XA Score program is governed and managed by your athletics program or organization. 
- Consent for us to collect and process the personal information described above is provided by your athletic program or its authorized agent. 

Each athletic program is responsible for ensuring it has obtained all necessary authority and legal basis (such as consent or contract) to provide personal information to us in accordance with applicable privacy laws.

How We Use Personal Information
We use personal information only to provide, maintain, and improve the App and Services on behalf of our customers. This includes:

- Operating and delivering the Services. 
- Providing customer support. 
- Conducting surveys or collecting feedback, if voluntarily submitted, so we can enhance our product and service offerings. 

We do not use personal information for marketing or advertising without explicit consent.

Third Parties & Service Providers

We may share personal information with third parties who help us provide the App and Services, including:

- Cloud infrastructure providers such as Google Cloud. 
- Payment processors such as Stripe.

These providers are bound by confidentiality and privacy requirements that are at least as strong as contractual obligations to our customers.

Under no circumstances do we sell personal information to third-party marketers.

Data Retention and Deletion
- We retain personal information for as long as necessary to provide the Services requested by your athletics program, and otherwise as permitted or required by law. 
- Customers may request deletion of personal information entered into the App. We support deletion via our API, and such data is removed within a short processing window. 
- After deletion, backup copies may persist for a limited period to allow for accidental recovery, and then are overwritten in due course.

Access, Correction & Control Rights
Access to, modification of, or deletion of personal information entered into the App is managed by the athletic program that controls the account.

Individuals seeking to access, update, or delete their information should contact their athletics program or authorized coach directly. XA Score will assist programs in fulfilling such requests.

Security of Personal Information
We implement reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, modification, or disclosure. Our infrastructure is hosted on Google Cloud, which provides industry-leading security measures, including encryption at rest and in transit.

Children & Minors
The App and Services are intended for use by individuals participating in athletics programs through their schools or organizations. If parental consent is required for participation under applicable law, it is the responsibility of the customer to ensure that it is obtained.

We do not knowingly collect personal information directly from children outside the scope of data provided by an athletic program.

Changes to This Privacy Statement
We may update this Privacy Statement from time to time to reflect changes in our practices or legal requirements. Material changes will be posted on this page with an updated revision date.
